Short answer
The strata roll is the owners corporation’s official register of the scheme. It records each lot and its unit entitlement, the name and contact address of every owner, and core scheme details such as the by-laws, the insurance held, and the managing agent (if any). Every NSW owners corporation must prepare and keep a strata roll up to date, and it must be kept for the whole life of the scheme.
What the roll records
The strata roll is the master record of who and what is in the scheme. It typically includes:
- Each lot and its unit entitlement (the share that sets voting weight and levy contributions).
- The name and address for service of notices of every current owner.
- By-law information and any changes to the by-laws.
- The insurance held by the scheme — insurer, policy number and expiry.
- Details of the original owner (developer), the strata managing agent and any building manager.
- The scheme’s address for service and other contact details.
Why it must stay current
The roll is the scheme’s single source of truth for who owns each lot and how to reach them, so it drives levy notices, meeting notices and voting eligibility. When a lot changes hands, the new owner must be entered; if the roll is out of date, notices can go to the wrong person and decisions can be challenged. Unlike most records, which are kept for a set number of years, the strata roll must be maintained for as long as the scheme exists.
